Plan Your Event

Welcome to the Carved and Crafted Menu by Chartwells! Our mission is to provide you with exceptional quality, exceptional service and a creative cutting-edge culinary experience. Our professional staff is available to assist in planning your special event Monday-Friday 9:00am - 5:00pm. Please contact Jo Anne Faavesi at 704-236-1031 for customized service and menus.

Policies & Procedures

To ensure optimal selection and the best possible service we kindly ask that events be booked at least two weeks in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs. Any event booked within 3 business days of the event will be subject to an additional $50.00 fee.

Guest Counts

We kindly request a confirmed number of guests be specified 3 business days prior to the event. This number is considered the guaranteed guest count. Should the number of guests in attendance exceed the number guaranteed, it will reflect in the final bill.

Labor / Event Time

Attendant fees are $22.50 per hour and are billed in four-hour increments. Events exceeding the four-hour limit will be subject to additional service fees. Bartenders and Chef Attendants are billed a flat rate of $150 per event.

Cancellation

We kindly request that cancellations must be made 3 business days prior to the contracted event date. If it is necessary to cancel, 50% of the latest guaranteed contract will become the responsibility of the event contact.

Service ware and China

All disposable service ware will be furnished as accompaniment to all items purchased. Some exceptions apply to orders being picked up. We provide high quality disposable plastic ware. Events held inside the Cannon Student Center will not incur china fees if china is requested. China and glassware is available for an additional charge of $3.25 per person held outside of the Cannon Student Center and $7.50 per person for off campus locations.

Buffet Style

· One server for every 50 guests on events with disposables

· One server for every 20-30 guests on events with china

· One buffet attendant per 50 guests

· One buffet per up to 50 guests

· Two buffets Lines (one set-up double sided) for 50-100 people

· Four buffets Lines (two set-ups double sided) for 150  or more people

Cocktail Reception and Passed Hors D’Oeuvres

· One server for every 25 guests

· Number of servers can be impacted based on the number of items passed and stations

Sit Down Dinner

· One server for every 10-12 guests depending on level of service requested or time frame to serve.

· For dedicated wine service one bartender or beverage server for every 30-40 guest

· One busser for every 25-30 guests

Bartenders

· One bartender for every 50-75 guests

· One bar back for every 75 guests or one per bar

 Linen

Tablecloths are supplied for all food and beverages service tables at events. Tablecloths for non-food tables are available for an additional charge and requests must be made in advance.
The charges for standard linen are as follows:
• 85” square tablecloth for seated tables $18.00 each
• 120” round tablecloth for seated tables $18.00 each
• 132” round tablecloth for cocktail tables $18.00 each
• 90”x156” floor length banquet tablecloth $18.00 each
• Spandex banquet table linen $20.00 each

Delivery Fee

All orders are subject to a $15 delivery fee on campus and a $50 delivery fee off campus. Pick-up is available at no additional cost during Dining Hall hours.

Billing & Payment

For all University departments, a departmental account number and approved contract is due prior to execution of the event. Each event contact will be invoiced via e-mail and will have 5 days to review and contact Chartwells with any discrepancies. If Chartwells is not contacted within the allotted time frame, a complete record of the event will be sent directly to accounts payable for payment.
If your event will be paid through personal or private funds, a 50% deposit will be due 3 business days prior to the event date. Complete payment is due within 7 business days after the event date. Checks can be made payable to Chartwells Dining Services. Master Card, Visa and American Express are also accepted.

Special Diets

Special diets are accommodated upon request, we kindly request that your needs be submitted as soon as possible.

Meeting Room and Equipment

Please reserve all non-food related equipment by contacting Catawba Conferences at 704-637-4200. This will include room reservation, set and room configuration, audio visual and other general information.
